The challenge

Linesight’s legacy document management system hindered collaboration, creating silos and slowing teams. To support its vision for a future-built world, Linesight needed to transform its employee experience with a unified digital workspace built on Microsoft Office 365. The solution would need robust information architecture, including taxonomy, metadata management, and security modelling, to support collaboration across its 1,700-strong workforce. Delivering this transformation demanded the right Microsoft partner—one with deep expertise in complex, regulated, document-heavy environments. Linesight selected Spanish Point to help power this next phase of its digital evolution. 

The solution

Linesight partnered with Spanish Point to design and deliver a next-generation employee experience solution with Document Management System (DMS) that prioritised seamless user adoption. Built on Microsoft’s Azure cloud platform, the solution used SharePoint for document management, Microsoft Teams for collaboration, and the Microsoft Power Platform for automation and customisation. The DMS had direct integration with third-party systems including Salesforce and Azure Active Directory, and supported automated workflows such as CRM-driven SharePoint site creation. Additional features included custom approval workflows with delegation, secure document storage and access control, role-based permissions for project team members, advanced navigation and metadata-driven search, and offline sync capabilities for field-based staff.

Technical deep dive

The approach focused on a modern Document Management System built on Microsoft 365, using SharePoint for document control, Microsoft Teams for collaboration, and automated workflows to streamline approvals and project setup. Seamless integration with existing systems supports secure, scalable collaboration across the organisation. 

Document migration and information architecture

Document migration was executed using ShareGate, supported by custom scripts to ensure data integrity and metadata preservation. ShareGate tools helped to automate the migration to Microsoft Office 365 and SharePoint Online. It also simplifed Linesight’s SharePoint content management and administration routine, helping to manage and secure Microsoft Teams. Spanish Point designed a robust SharePoint information architecture, defining site collections, taxonomy, and term sets for efficient navigation. Role-based permissions and secure document storage were implemented to meet compliance standards. Incremental migration phases allowed validation and minimised disruption, while automated provisioning tools enabled rapid creation of project sites. This architecture underpinned Linesight’s ability to scale globally while maintaining governance and performance.

Integration and workflow automation

Power Automate workflows streamlined document approvals with multi-stage processes and delegation capabilities. Integration with third-party systems such as Salesforce and Azure Active Directory ensured optimisation of Linesight’s existing workflows. Spanish Point also developed custom provisioning tools and automated scripts, enabling Linesight to create new project sites on demand, supporting scale and consistency. The project included early-stage prototyping to capture user requirements, the migration of historical content, and comprehensive training and change management. To enable continuous deployment, DevOps practices were adopted using ARM templates for Azure resource configuration and automated environment setup. Custom connectors facilitated interoperability between Microsoft 365 services and third-party systems. These enhancements not only improved operational efficiency but also established a foundation for future low-code extensions using Power Apps, empowering Linesight’s internal teams to extend functionality independently.
